Guardsmen Investment Team · Issue 001

AI for the mailbox.

A practical starting point for using Claude or Copilot to make email triage more manageable while keeping people, permissions, and source evidence in control.

Start with one thread

Choose a single thread with a clear purpose: prepare for a meeting, identify follow-ups, or hand work to a colleague. Ask AI for a concise summary, open questions, and a proposed action list. Do not begin with an entire mailbox.

Useful tasks

  • Summarize a long conversation and its turning points.
  • Prioritize messages by urgency, dependency, and next action.
  • Extract scheduling constraints and draft calendar options.
  • Prepare a handoff with context, open questions, and requested decisions.

Keep the source authoritative

AI can miss context or mistake a suggestion for a decision. Preserve the original message, check every owner and deadline against it, and mark anything ambiguous as unknown. A summary is a working aid—not a replacement for the email.

Why this matters to investment teams

Investment work generates a high volume of context that must move quickly between analysts, managers, and operating partners. A reviewed summary can reduce sorting and handoff time while keeping the underlying evidence available when a decision matters.

A safe first experiment

  1. Select one non-sensitive or approved thread.
  2. Define the desired output before prompting.
  3. Review the result against the original message.
  4. Record what was useful, what was wrong, and how much time was saved.
  5. Expand only after the review quality is acceptable.
